1. Who we are

Domov ("we", "us") is the controller of the personal data described in this policy. You can contact us through the contact page.

2. What we collect and why

Your account

Your name if you give it, your email address and a hashed copy of your password. We use them to provide your account and to email you about it. The legal basis is the performance of our contract with you. You need to provide an email address to open an account.

Saving properties

The links you save, the property details from each listing, the result of each save and how complete it was, your spreadsheets and their column settings, and the devices you pair. We keep the extracted details with each save to show your history and to assess refund requests. The legal basis is our contract with you.

Property updates

If you turn on updates for a spreadsheet, we read the saved rows in it and read each listing again to find changes. We write the changes to your spreadsheet and email you a summary, which you can switch off on the Updates page. The legal basis is our contract with you.

Sharing a spreadsheet

If you invite someone to a spreadsheet, we use the email address you give us to share the spreadsheet with them through Google and to send them an invitation that names you. The legal basis is our contract with you and, for the person invited, our legitimate interest in delivering the invitation you asked us to send.

WhatsApp

If you link a WhatsApp number, we receive the messages you send to Domov's WhatsApp number, with your number and WhatsApp profile name. We use the links in them to save properties, and reply only to confirm the link, to say an account has run out of credits, or to answer a command you sent. We keep the number and profile name with the key it is linked to until you unlink it or close your account. The legal basis is our contract with you.

Payments

Square processes card payments, and card details do not reach us. We keep the amount, the bundle, any promotion or promo code applied, the date, the payment reference and whether you asked for immediate supply. The legal bases are our contract with you and our legal obligation to keep accounting records.

Refund requests

The save concerned, what you wrote and our decision. The legal basis is our contract with you.

Security and operation

Error logs, which can include the account and web address involved; counts of requests by IP address, used to limit abuse; and a Google reCAPTCHA check on the sign-up form. The legal basis is our legitimate interest in keeping the service working and preventing abuse.

3. Use of AI

We use AI models from third-party providers to save the property information in your sheet. While passing on information to the model, we do not send them your name or email address or any other personal information.

4. Your Google account

When you connect a spreadsheet, Google asks you to allow Domov to create and edit it. We use that access only to create the spreadsheet, write to it and read the rows we need to save properties and check for updates. We do not access other files in your Google Drive. You can withdraw access at myaccount.google.com/permissions.

Domov's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Who receives your data

We share personal data only with the providers we use to run Domov:

• Google, for your spreadsheet and for reCAPTCHA on the sign-up form
• WhatsApp (Meta), for the messages you send to Domov on WhatsApp and its replies
• Square, to take payments
• AI model providers, as described in section 3
• a web page retrieval service, which receives the address of each listing to read
• our hosting, database, visit statistics and performance measurement providers
• our email delivery provider

We do not sell personal data or use it for advertising.

6. Transfers outside the UK

Some of these providers process personal data outside the UK, including in the United States. These transfers rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum approved under UK law, as set out in each provider's terms. You can ask us for a copy through the contact page.

7. How long we keep it

• Your account, saves (including extracted property details), spreadsheet settings, paired devices and update history: until you close your account.
• Payment records: six years from the date of each payment, as UK tax and company law requires. If you close your account, your name and email address stay with the payment records for that period and are then removed.
• Error logs: 90 days. Records of how each extraction performed are unlinked from your account after 90 days.
• Email verification and password reset links: they expire within 24 hours.

Closing your Domov account does not delete your spreadsheet, which is stored in your Google account. Data we delete can remain in our database provider's recovery history for up to 24 hours.

8. Your rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. You can download a copy of your data and delete your account in your account settings. For anything else, contact us. We respond within one month. A complex request can take up to two months longer, and we will tell you within the first month if that applies.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

9. Complaints

If you are unhappy with how we have handled your personal data, contact us and say that it is a data protection complaint. We will acknowledge it within 30 days, look into it and tell you the outcome without undue delay.

10. Cookies, visit statistics and performance measurement

We set cookies to keep you signed in, to let you return to an unfinished sign-up within 24 hours, and to remember your theme and whether visit statistics and performance measurement are off. The sign-up check and the payment form are provided by Google and Square, and may set their own cookies.

Our hosting provider counts visits to each page and measures how quickly pages load. For each page view it records the page address without anything after a question mark, the site you came from, your browser, device type and country, and for load times the timings. It sets no cookie and does not identify you. We use the results to see which pages are used and to improve the site. You can turn this off for your browser at the end of this page.

11. Changes to this policy

We will change the date at the top of this page when we update this policy, and email account holders about significant changes.
